Privacy Policy

Effective August 1, 2026

KYS Systems (“KYS”) processes personal data only as needed to respond to business inquiries and takes reasonable steps to protect the rights of the people who contact us.

1. Personal data we collect

  • Required: company, contact name, work email, country/region, preferred language, preferred contact method, inquiry type and message
  • Optional: phone number with country code, time zone and preferred meeting window
  • When analytics tools are enabled, technical data such as IP address, cookies and access logs may be collected automatically

2. Why we use the data

  • Respond to inquiries and provide consultation
  • Prepare and send quotes and arrange online demos
  • Review requirements and service fit before a contract

3. Retention

Inquiry data is retained for up to six months after the inquiry is closed, then deleted, unless a longer period is required by applicable law.

4. Disclosure to third parties

KYS does not disclose personal data to third parties except with the data subject’s consent or where required or permitted by law.

5. External processor and possible cross-border processing

KYS uses Formspree as an external form-processing service. Information submitted through the inquiry form is transmitted to and processed by Formspree and may be processed outside your country of residence.

  • Data processed: information entered in the form and technical information generated during transmission
  • Purpose: secure form delivery, spam prevention and submission notifications
  • Current processing locations, safeguards and retention terms are governed by Formspree’s latest privacy policy and service configuration.
